Accounting Assistant – Job Description

Reports to: Executive Director

Position Summary:  The Accounting Assistant performs a range of general accounting functions which may include checking and verifying records, matching bills to purchase orders, preparing invoices and vouchers, posting ledger and general journal entries, and troubleshooting problem account balances and inquiries to obtain missing information or verify unusual data. May assist with monthly trial balances and custom report generation as requested by the Executive Director and/or CPA. 

Job Responsibilities

  • Enter A/P documents in MIP and run checks for the CPA to review and post
  • Enter A/R documents and cash receipts for the CPA to review and post
  • Posted transaction register for journal entries; file and ensure they are complete and have back-up for why journal entry was created
  • Audit prep help (e.g., internal audit quarterly with CPA, annual audit requests, etc.), as needed
  • Scan 1099’s into MIP and attach to vendor record
  • Scan contribution back-up and attach to transactions or customer record in MIP
  • Help with reconciliation and entry into MIP for annual auction event and all fundraising events
  • Work with program managers on other billing and revenue recognition when not cost reimbursable and based on outcomes
  • Printing and distribution of financial reports monthly to program managers and quarterly for the Board of Directors
  • Making sure support and authorization is available for all posted journal entries
  • Assist with bank reconciliations
  • Grant Tracking – create and update grant tracking sheets/documentation/support as directed by CPA and ED

Job Requirements for all Staff:

  • Maintain confidentiality of families and other staff members.
  • Be prompt in arriving at work site, meetings, and workshops.
  • Submitting accurate time sheets daily is preferred and at least weekly to include description of work performed.
  • Attend and participate in staff meetings as scheduled.
  • Assure your schedule is up to date on the Shared Calendar
  • Assist all colleagues in meeting timelines.
  • Other duties as assigned.
